Keating Wagner Polidori Free, P.C. is hiring a Law Firm Administrator. Keating Wagner Polidori Free, P.C. specializes in personal injury, worker’s compensation, and commercial litigation cases. It is a boutique plaintiff focused trial practice. It has consistently been ranked as a Best Law Firm according to US News & World Report®.

The role of our Law Firm Administrator is non-traditional and dynamic, and the right candidate will be comfortable handling a variety of different responsibilities (think MacGyver). They are responsible for managing and overseeing the day-to-day operations of a busy firm, including overseeing the support staff and working directly with the attorneys. The Law Firm Administrator’s duties include a wide range of activities including office administration, personnel, finances, and marketing. You will handle key administrative responsibilities and play a large role in shaping firm culture. The Law Firm Administrator will work closely with the partners on firm-wide strategy, employee engagement and retention, systems development, accounting, HR issues, and facilities management.

We are looking for an Administrator who is interested in participating in the Association of Legal Administrators (and Mile High Chapter) and taking advantage of the educational and networking opportunities provided by ALA. We believe this involvement will help our Administrator excel and help us continually improve our firm processes and operations.

Compensation and Benefits:

$65,000-90,000 (DOE), firm-paid health plan, secured garage parking, fitness center access, profit sharing/retirement plan (20% annual salary contribution after two years of continuous employment), generous PTO package, ALA and Mile High Chapter membership.

Responsibilities:

  • Collaborate with the partners to create the annual business plan, budget, strategic calendar, and regular administrative meetings
  • Manage daily A/R and A/P for vendors and clients
  • Generate monthly invoices to clients with attorney approval (this is related to hourly rate cases which comprise about 10% of the firm’s caseload)
  • Work directly with the firm’s marketing exec to execute high-level marketing initiatives
  • Supervise, lead, and engage employees in all areas of firm operations
  • Human Resources compliance including recruitment and onboarding, and benefits administration
  • Vendor and facilities management
  • Work with our accountant

Qualifications:

  • Keen sense of humor and enjoy working with a wide range of personalities
  • Identify issues and priorities quickly and communicate them effectively
  • “Manage up” to help the partners run a successful practice and allow you to succeed in the role
  • Strong conflict resolution/communication skills (not conflict avoidance skills)
  • Seek out and uncover performance issues and recommend solutions
  • Knowledge in basic IT and the ability to work with the staff and IT partners to mitigate all issues
  • Understand trust accounting requirements for law firm practice (COLTAF)
  • Understand ethical rules of professional responsibility (Colorado / ABA)

And have the following experience:

  • Basic business accounting (required); Law firm trust accounting (preferred)
  • Several years of work as an Office Manager (required); Law Firm Office
  • Administrator (preferred)
  • Human Resources and Benefits administration (preferred)
  • Microsoft Office, Outlook, Adobe Acrobat, Excel and billing software such as Tabs and Needles (preferred)
  • QuickBooks (preferred)

And the following education/memberships:

  • Associates’ or Bachelor’s degree (preferred)
  • ALA (Association of Legal Administrators) membership (preferred)

You must be able to demonstrate your prior success with:

  • Understanding and using common business reports to make decisions (budget variance, P&L, A/R, & A/P)
  • Helping businesses navigate the complexities of growth and ownership succession
  • Ensuring office operations (and thereby client matters) are handled appropriately, legal and ethical requirements are met, and clients receive excellent service
  • On-boarding, supervising, managing, and driving employee engagement
  • Managing Human Resources functions including recruitment, interviewing, benefits administration, management of pay and bonus structures, and compliance with state and local workplace regulations)
  • Managing facilities, sub-tenants, security, and technology vendors
  • Meeting internal and external deadlines
  • Proactively managing the communications around deadlines to team members and owners
